Administrative Assistant
Job Description
We are seeking a proactive and detail-oriented Administrative Assistant to support management team of a conglomerate with multiple business units including property development, business services, investment solutions etc. with new office setting up in Grade A commercial building in Hong Kong. This role combines back-office administration, receptionist duties, and facilities coordination, making it central to maintaining an efficient and welcoming workplace.
Key Responsibilities
Office Setup & Administration
-Assist in establishing and maintaining office systems, supplies, and procedures.
-Handle office procurement and inventory management.
Management Support
-Arrange hotel bookings, transportation, and travel logistics for management.
-Provide day-to-day administrative assistance to ensure seamless operations.
Reception & Client Service
-Greet and assist clients and visitors in a professional manner.
-Manage incoming calls: screen, transfer, and take accurate messages.
-Handle courier services, filing, and general correspondence.
Office & Facilities Management
-Liaise with building management to resolve issues and maintain smooth office operations.
-Ensure facilities are well-maintained and conducive to productivity.
Qualifications & Skills
- Degree holder is a must.
- 5-8 years of experience in office administration or related roles.
- Strong organizational skills with attention to detail. Highly independent and able to handle a one-man-band role.
- Excellent communication and interpersonal abilities.
- Language proficiency –Fluent in English and Cantonese. Close to native or excellent proficiency in Mandarin preferred.
- Ability to multitask and prioritize effectively.
- Professional demeanor with a client-focused attitude.
